1. INTRODUCTION: page 1
Development Information
Coin Manager is a fully functional system that will manage your
coin collection. The FLEXIBILITY that has been included will even allow
the inclusion of foreign coins or paper notes, if needed. I have tried
to make this system as "EASY" as possible to use and maintain.
You have the COMPLETE Ver 1.5 system, NOT a "DEMO" version that
withholds functionality until you register! There are no annoying delays
to deal with, no threats, just a good collection management system!
Coin Manager is a "SHAREWARE" product, and as such, I would hope
that if you find it useful, you will register as a user. After you have
used Coin Manager, I am sure that you will agree that the contribution
of $20.00 is a small price for such a system. You may register by send-

Coin Manager is distributed "AS IS" and without warranties as to
performance or merchantability. No express or implied warranties are
given whatsoever because of the diversity of conditions and hardware
under which these programs may be used. No warranty of fitness for a
particular purpose is offered. Any liability will be limited to the
replacement of diskette(s), that have been provided by me, that are
proven defective.
DISTRIBUTION
You are free to copy and distribute Coin Manager as long as it is
done with ALL files intact, as they exist in this system. You may NOT
SELL this software! None of the programs and/or files in this system
"Coin Manager" may be included or incorporated into any other software
for sale without the the express permission of the author.
Shareware distributors may charge their customary diskette copy
as long as it does NOT exceed $5.00 per diskette.

SYSTEM REQUIREMENTS
Coin Manager 1.0 can be run on MS-DOS IBM compatible computers.
It is written in "C", compiled using Turbo-C. Coin Manager, due to its
functionality, such as on-line help and cross-reference pick lists,
should be installed on a HARD DRIVE. It was developed on a 286 machine
using DOS ver 3.3 .It supports both color and mono adjusting for either
on startup. If you have a machine that it does NOT run on, please let
me know so I can make the necessary changes. It also has a number of
user defined reports that can be printed, displayed on screen or put to
a disk file.

This system is contained in 4 archived files. The executable code,
the indexed help and cross-reference files. The list is shown below:

** NOTE: These files will be created when you run the CMBACK.EXE
program.
HELP DATA FILES
1) progname.NDX - The help file index file.
2) progname.HLP - The help data file.
NOTE: There are help files for all screens and entry items in the
system. All use the program name as its name.

INSTALLATION
Once you have downloaded the Coin Manager archived files, you must
un-archive them using PKUNZIP. This program can be downloaded from EXEC
PC BBS, it is contained in PKZ090.EXE, an excellent utility written by
PKWARE. After running pkz090 you will find the pkunzip file needed to
un-arc the coin manager and start you on your way. When you un-arc the
files, you will see all the programs and files expanded. At this point
you should check these against the list on page 3 to insure that all
are present. The VERY NEXT STEP should be to BACK-UP the .ZIP files on
whatever media you use for backing-up, floppies, tape, etc. This will
ensure you have a complete back-up of the original system, in case!!!!
SPECIAL NOTE FOR FLOPPY USERS
All the programs for the Coin Manager are stand-alone executable
programs. You do not have to use all the programs included if you
do not want to. A possible solution for people having only floppy
drives would be to load the ccmaint and cminq.exe programs along
with the .dat data files and execute the programs individually by
entering the program name. Of course you would be losing some of
the functionality but still have a useful system.
DIRECTORIES
I have left the choice of directory names and structures entirly up
to you. The easiest way to get started is to create a directory named
CM, copy all files into it, then its ready to go. I am assuming that if
you have the knowledge to download these files, you can decide what you
want to do with them in terms of directories, sub-directories and path
commands. If my assumption is incorrect, please pardon me and consult a
DOS manual for the following commands:

PATH - PATH STATEMENT

GETTING STARTED
You can start the Coin Manager simply by entering CM at the DOS prompt.
This batch file will start the Btrieve File Manager and execute the first
screen which you see below.

OPTIONS:
All options are selectable via the arrow keys or by using the
first letter of the option.
NOTE: PRESSING F1 WILL GIVE YOU A BRIEF DESCRIPTION OF EACH OF THESE
PROGRAMS.

INQUIRY:
Moving the arrow keys until the option Inquiry is highlighted
or pressing "I" on the keyboard will display a SUB-MENU which
offers you the following:
"QUICK REFERENCE" This will show you a list of coins on the
database, the fields shown are inventory
number, year/mint mark, type.
You can scroll by using the up/down arrow
keys. When you find the coin you are want,
you can use the inventory number to bring
it up on the detailed screen.
"DETAILED INQUIRY" This screen is almost identical to the
maintenance screen, with the exception of
cost and profit fields. I did this so that
if you are showing a particular coin to a
prosective buyer, they would not be able
see this information. Entering nothing in
inventory field and pressing enter will
show you all the coins on the database in
order.
MAINTENANCE:
Once again, selecting the Maintenance option will also display
a SUB-MENU which offers three choices:
"COIN INVENTORY MAINTENANCE" This is where you build your data files of
coins. It is described on page 8.
"GRADE MAINTENANCE" Where you can modify the list of grades
that I have included.
"TYPE MAINTENANCE" Where you can modify the list of coin
types I have included with COIN MANAGER.
These options are described in the SPECIAL FEATURES SECTION
on page 12.
REPORTS:
The REPORTS selection will show you a screen that allows you
select various options for your reports:
"PRINT THE REPORT" Where you decide whether you want the
report to go to the screen, the printer
or a disk file.
"CHECK THE ALIGNMENT" This will show you the width of the rep-
ort and ask if you want to run a test.
"SELECT ALTERNATE KEY" Here is where you have the control of
the way the report is sorted and displayed.
Your choices are: Inventory Number
Year/Mint Mark
Type
Grade
Status
These fields are described in the FIELD DESCRIPTIONS that are
on page 9.

"RANGE SELECTION" Here is where you can specify a range that
you want to use for the report. An example
would be selecting STATUS and entering the
value "W" in both the TO and FROM fields,
this would produce a report of ONLY coins
that are on your "W"ant list. If you were
to enter "S", ONLY coins that you "S"old
would show. Using RETAIL, you could pick
a dollar amount such as FROM 100.00 TO
150.00, and ONLY coins filling that retail
price range would be selected.
Your choices are: Status
Retail
These fields are described in the FIELD DESCRIPTIONS that are
on page 9.
"EXIT" Will return you to the MAIN MENU.

FIELD DESCRIPTIONS:
Inventory #: A sequential number assigned by the system.
Acquired Date: The date that you acquired the coin. Pressing ENTER
with no entry will default to the current date.
entry format is MM/DD/YY.
Year-MM: The year of issue and mint mark in the format
1964P meaning 1964 Philadelphia.
Type: The type of coin ie. Nickel - Jefferson.
SPECIAL NOTE:
THIS IS A PICK LIST FIELD!
In order to ensure consistancy
pressing PF4 when the cursor is
at this field will give you a
PICK LIST to choose from. You
are asked whether you want an
exact match or a partial. The
partial is the most flexible of
both. Enter the first letter of
the type you are looking for ie.
"n" or "N" for "Nickels", "q"
or "Q" for "Quarters" etc. The
program will make your entry an
uppercase letter on all fields
you enter throughout the system.
You can scroll by using the up/
down arrows. When you locate a
type thats appropriate by high-
lighting it, pressing ENTER to
move your choice to the TYPE
field on the screen.
NOTE: SEE SPECIAL FEATURES SECTION
Mintage: How many coins were minted in that year, this is
available in most of the coin publications that
are sold.
Variety: Occasionally, when coins are minted, there are
variations within a given year. An example of
this would be changes in design that take place
the middle of a year, such as the 1883 nickels.
The first one did not have the word "CENTS" on
it. This led some enterprising people to gold-
plate them and pass them off as $5.00 gold coins.
As this came to light, the word "CENTS" was added
to the coin, hence a variation. The type would be
indicated by "NICKEL - LIBERTY" Variety NO CENTS.

Grade: The grade of the coin.
SPECIAL NOTE:

Graded By: Indicates who or what source was used to grade
the coin. There are professional grading services
that will grade coins for a fee. If ENTER is
pressed with no entry "SELF" will appear in the
field.
Serial #: If a professional grading service was used this
field is where you can indicate the number that
they assign the certificate.
Optionally, if you wanted to store PAPER money
in the system the serial number could go here.
Status: This field can be used to tailor your reports
because it is one of the range fields on the
report menu. I use the following:
"I" to indicate "IN STOCK" this
is the default entry if none is
made.
"W" to indicate a "WANTED" coin
it might be a little more work
to enter this data, but having a
want list when you go to a show
or auction is worth it.
"S" to indicate a "SOLD" coin.
This is handy to track sales.
"T" to indicate a "TRADED" coin.
This is handy to track trades.
"R" to indicate a "REPLACED" coin.
This is handy to track upgrades.
Status Date: The date that one of the above actions took
place. Defaults to the current date if none is
entered.

Retail: The retail price the coin would bring if sold.
This figure is given in most publications as
the ABP Average Buying Price. Feel free to use
whatever price you feel is appropriate.
Cost: What the coin cost you.
Profit: A calculated field, subtracting the cost from
the retail.
Profit%: The calculated profit percentage.
Comments: An area to enter any comments or notes.

SPECIAL FEATURES:
1) PICK LISTS: Pick Lists can be changed to anything you like
by using the type or grade maintenance choices
that appear on the maintenance sub-menu.
WARNING: IF YOU USE THE TYPE AND/OR GRADE LIST THAT I
HAVE INCLUDED, THEN CHANGE THE LISTS, YOU CAN
AND WILL PROBABLY DISTORT THE SORTING OF THE
DATA. MY ADVISE IS TO ENTER A DUMMY COIN INTO
THE SYSTEM AND TAKE A LOOK AT THE PICK LISTS,
IF THEY SUIT YOU FINE, IF NOT, MAKE YOUR OWN
UP AND ENTER THEM USING THE MAINTENANCE SCREENS.
2) ADD THIS RECORD: You will see this prompt as you finish entering
the data on the COIN INVENTORY MAINTENANCE SCREEN.
This gives you the chance to review your entries
for errors and by saying "N" to the prompt you
can TAB back through the fields to the errors and
make the changes.
3) ADD ANOTHER....: You will see this prompt after you answer the
"ADD THIS RECORD" prompt. It was added to allow
you to enter multiple coins using the same data
previously entered. When you say "Y" to this
all the fields will clear and you will be at the
INVENTORY # field. You will have to increment the
field yourself. If the last Inventory # was 24,
you would add either 25 of any other higher number
that has not been assigned by the system. After,
you simply press ENTER to restore the previous
value to that field.
3) HELP F2 OPTIONS: As you display a help screen from any field on the
system, you will notice that the status line at
the bottom lists F2 OPTIONS. When you press F2,
a menu will appear. The options you are given are:
RESIZE WINDOW
MOVE WINDOW
EDIT TEXT
CHANGE THE SETUP
SAVE THE SETUP
* Resize window allows you to expand the top, bottom
and sides of the window.
* Move window lets you move the window around on the
screen.
* Edit Text if you select this option, you must have
an ascii editor within your path that COIN MANAGER
can find. If you do you can change the help screen
any way you want.
* Change the setup will allow you to change the box
type, color and tab spacing.
* Save the setup will allow you to save any of the
changes you have made.
BACK-UP AND RECOVERY page 13
BACK-UP:
1) CMBACK: This is the back-up program, it must be in the same
directory as the .DAT files. It will prompt you
through the procedure and as a precaution will not
back-up files that are older than the files that
are on you back-up disk. It is advisable to use
it after every ADD session. To run the back-up just
enter CMBACK.
RECOVERY:
1) CMRECVR: This is the recovery program, like the back-up it
also must reside in the files directory. Again, it
will prompt you through the recovery procedure. To
restore a file that has been lost or corrupted, run
CMRECVR it will ask what drive you are using for
the restore and take it from there.
FUNCTION KEY DESCRIPTIONS: page 14
F1: Help Key, this is available on any screen in any field.
F2: Help Options, allows editing of the help screens.
Note: SEE SPECIAL FEATURES FOR MORE INFORMATION.
F4: Invokes the Pick List feature, available on the Type and
Grade fields of the Maintenance screen.
Note: SEE SPECIAL FEATURES FOR MORE INFORMATION.
ESC: Exits the particular screen you are on, or aborts the
action you are performing, such as adding, changing etc.
PAGE/UP: Scrolling through Pick Lists and the Help Screens.
PAGE/DN: The opposite of PAGE/UP.
